We are seeking an Executive Assistant to the Chairman. This position is possible temp to hire. Your role will complement and support the leaders for our team’s overarching goals and objectives. In this role you will manage a heavy calendar, assist in strategic scheduling many weeks into the future, and provide ad hoc project management as initiatives are created and implemented.

YOUR MISSION:

  • Travel Management: Research, schedule and arrange for business travel, including flights (commercial and private), hotels, restaurants and meetings during travel
  • File management: Maintain and update electronic filing system; retrieve information from files when needed
  • Invoices: Assist with any invoices received, partnering with the appropriate teams internally as well as external vendors
  • Expense reports: Prepare/submit expense reports and manage expense receipts
  • Communication: Field routine and non-routine questions; liaison with other departments and executives; organize and prioritize large volumes of information and calls, including drafting written responses or replies by phone or email when necessary; take meeting minutes and manage post-meeting follow-up when applicable
  • Personal assistance when applicable
  • Other responsibilities which may include presentation drafting/editing, project management, event coordination, office administration initiatives, corporate philanthropy initiatives and more

YOUR TRACK RECORD:

  • Bachelor’s Degree required
  • A minimum of three years of administrative and corporate operations experience including supporting C-suite executives, office management, expense reporting, travel coordination, event planning and team management
  • Advanced proficiency with Microsoft Office products including Outlook, Excel, PowerPoint and Teams
  • Experience with travel and expense management software such as Concur
